Loan Officer is the only role with two handoffs
The Loan Officer is the only role in the pipeline with two separate handoff points — one that happens before contract, and one triggered by the executed contract itself. Handoff 1 to Stephanie / Kelly happens pre-contract once documents are collected. Handoff 2 to James is triggered the moment the executed contract is emailed to gmgcontracts@goodwinmg.com.
Handoff Summary
Phase Owned by Handoff to Trigger
Phase 1 Loan Officer Stephanie / Kelly + James Docs collected; borrower under contract
Phase 2 Stephanie / Kelly James Green light confirmed — file ready for disclosures
Phase 3 James Carley + Processor Disclosures sent to borrower
Phase 4 Carley Processor (via UW queue) Both parties sign initial disclosures
Phase 5 Processor Closing Team Clear to close received

Systems
Platforms used at GMG — what each one is and when to use it.
nCino / HomeTrac
Loan Origination & Borrower Portal
nCino is the lender-side LOS (Loan Origination System) where the loan file lives. HomeTrac is the borrower-facing portal — the same system, different face. Borrowers submit documents and track their loan through HomeTrac; the team works the file in nCino. Used from application through closing for document collection, needs lists, and status updates.
Encompass
Loan Origination System
Encompass by ICE Mortgage Technology is the primary LOS for conventional and agency loan processing. Used for 1003 applications, disclosures, and submitting loans to underwriting. Pre-approvals can be issued directly through Encompass or nCino depending on the loan type.
Monday.com
Pipeline & Needs List Management
Monday.com is the team's pipeline tracker and needs list tool. When a loan is submitted, a board item is created so the processor can track outstanding items, assign tasks, and communicate with the LO. It is the primary place to check for open items on any active file.
Optimal Blue
Pricing & Rate Lock
Optimal Blue is the product and pricing engine (PPE) used to search rates, lock loans, and compare programs. Used when quoting a borrower, running scenarios, and executing the rate lock. Access through the Cornerstone Connect portal.
Zendesk
Help Desk & Training Library
Zendesk is the internal help desk and knowledge base. Training recordings, job aids, and how-to articles are stored here. Submit support requests to Marketing, Servicing, Creative Services, and Social Media through their Zendesk email addresses. Also used for IT and tech support tickets.
MortgageLab
Training & Compliance Education
MortgageLab is the platform for required compliance and product training courses. LOs complete CE and product knowledge coursework here. Access through the Zendesk training library or the direct MortgageLab link in the Training tab.
Ocrolus
Document Analysis & Income Verification
Ocrolus is an AI-powered document analysis tool that reads and extracts data from bank statements, pay stubs, tax returns, and other borrower documents. It speeds up income and asset analysis by automating the review of uploaded files so processors and underwriters get clean, structured data instead of manually reading each document.
Experience.com
Reviews & Client Surveys
Experience.com is the platform for collecting and managing client reviews and satisfaction surveys. After closing, borrower surveys are automatically sent through this system. LOs can monitor their ratings and request reviews directly from the platform.
Canva
Marketing & Design
Canva is the team's self-service design tool for creating social media graphics, flyers, rate sheets, and other marketing materials. GMG has a shared Brand Kit with approved colors, logos, and templates so LOs can produce on-brand content without going through marketing for every request.
Cornerstone Connect
Intranet & Resource Hub
Cornerstone Connect is the company intranet hosted on SharePoint. It is the central hub for company news, policy documents, resources, rate lock access (Optimal Blue), and team communications. Bookmark this as a daily starting point.
